This notice explains what we collect, why, and what you can ask us to do with it.
1. What we collect
- Account details: your name, email address and the details you enter in your account.
- Learning activity: progress, practice and simulation activity.
- Examination data: answers, timings, scores, results and credential records.
- Supervision data, for supervised examinations: your ID photo, a live photo, periodic low-resolution webcam stills, short clips and examination-window screenshots saved when a check is triggered, and the flags themselves. Face comparison runs on your own device; we keep only the match result, never a face template.
- Support data: requests you send us and our replies.
2. Why we hold it
To deliver and score your examination, to issue and verify credentials, to prevent cheating, to improve examination quality using anonymised statistics, and to meet our legal obligations.
3. How AI is used
Supervision checks run on your own device and produce flags for a person to review. No automated decision is made about you. A person decides every outcome.
4. Who sees it
ASTRA Ready staff and reviewers who need it, and our hosting and email providers. We do not sell your data and we do not use it for advertising. A partner or employer sees your result only if you have given consent, and you can withdraw that consent at any time.
5. What is public
Only what the verification page shows — your name, the credential, issue and valid-until dates and status — and only to someone who has your credential ID or link.
6. How long we keep it
- Supervision images, clips and flags: 90 days, or until an open review or appeal closes.
- Answers, timings and results: 3 years.
- Credential records: the life of the credential plus 2 years, because a credential must remain verifiable.
- Account details: until you close your account, apart from records we must keep to verify a credential.
7. Your choices
You can ask to see, correct or delete your data, except records we must keep to verify a credential or to meet the law. You can withdraw consent to share a result with a partner. Email hello@astraready.com and we will reply within 15 working days.
8. Security
Data is held in encrypted storage with access limited to the people who need it. Supervision files are private and are reachable only through short-lived links issued to an authorised reviewer.
9. Changes
When this notice changes we publish the new version with its date and keep the previous versions available.
